Accusoft® Privacy Policy

Accusoft licenses software, including PrizmDoc® Enterprise (“PrizmDoc”), VirtualViewer®
(“VirtualViewer”) and Software Development Kits (“SDK’s”) (collectively “Software”), and provides
software services, including Docubee™, PrizmDoc Cloud, and edocr™ (collectively “Services”).
When you license Software from Accusoft or use any of Accusoft’s Services, you expressly
consent to Accusoft’s information handling practices described in this Privacy Policy. If you do
not agree with these practices, please do not license Software and please do not use Services.
This Privacy Policy is hereby incorporated into the various Software License Agreements
(“SLA’s”) of Software and into the various Terms of Use and/or Service or Services. This
Privacy Policy may change from time to time without further notice to you. The date of the last
modification to this policy is reflected in the “Last Modified” date above. Please revisit this page
whenever you want to know the current policy.
If you are a licensee of Software or a user of a Service, and you are not located in a U.S. state,
territory or possession, please be aware that Accusoft is a U.S. company. Accordingly, by
accepting this Privacy Policy, you expressly consent to transfer of your data to the U.S. from
your location. In addition, your content uploaded to a Service may be accessible globally
depending on your use of the Service and the privacy settings you have set for your content. If
so, you expressly agree to transfers of your content outside of your location.
Accusoft is a Controller of the personal information you provide as you fill out a form at our
website to get information or a Software download, as you license our Software and as you set
up an account to use our Services. Accusoft is a Processor of data, information or content you
provide to a Service on behalf of your users. Accusoft is a Processor of data, information or
content you upload to the edocr Service. For information for which Accusoft is a Processor, you
are the Controller of any personal information and Accusoft does not own, control, direct or use
the information except as necessary to provide the features of the Service to you and to your
users.
Accusoft does not want Software licensees nor Services users who are under the age of 16. If
you are under the age of 16, please do not license Accusoft Software nor use Accusoft
Services. If you are the parent or guardian of someone under the age of 16, and you become
aware that they are an Accusoft Software licensee or Accusoft Services user, please let
Accusoft know at privacy@accusoft.com so we may terminate the license or the Services
account.

Information Accusoft Collects
User-provided Information
You may provide personal information as you enter into a relationship with Accusoft to license
Software, use Services or to create an Accusoft account for licensed Software or for Services
you use. You may provide personal information as you request information or request a
Software download. This information may include your name, your mailing address, your email
address, your phone number, your company and other information. You may provide other
information when you create a public user profile for a Service. Docubee eSign Google
Workspace Add-on’s use and transfer of information received from Google APIs will adhere to
Google API Services User Data Policy, including the Limited Use Requirements.
“Cookies”
When you visit an Accusoft website or use an Accusoft Service, we may send cookie(s) to your
computer for analytics and other purposes. These cookies may be removed using features
provided by your browser. You can refuse to allow these cookies using settings provided by
your browser. The edocr Service may have third party advertisements that send cookie(s) to
your computer. These cookies can also be removed and refused using your browser.
Automatically-collected Information
When you use an Accusoft Service, we may record information about your use, including your
IP address, the date and time of your visit and other information about your Service visit and
requests for purposes of service, maintainability and performance of the Service. When you
visit an Accusoft website, we may record information about your visit, including information
provided by your browser in html headers, your IP address, the date and time of your visit, the
web pages accessed and other information using analytics and tracking technologies.
How Accusoft Uses Collected Information
We use information you provide as you enter into a relationship with Accusoft in furtherance of
that relationship. As part of that purpose, we may email you or otherwise contact you for
administrative, customer service, copyright or security reasons. If you use a Service, we may
also email you about copyright, privacy or other terms of use violations of the Service policies.
We use the information you provide when requesting information or requesting a Software
download to resolve your request as well as to learn in aggregate about these kinds of requests.
In response to your request, we may send you administrative emails to answer your request or
to confirm your email address.
You may provide the edocr Service with your email address when an edocr Subscriber has set
the privacy settings for the content you want to access so that your email address is required.
In that case, your email address is provided to the edocr Subscriber.
You might upload files containing personal or sensitive information to edocr or Docubee and then
provide access to those files through Docubee or edocr by creating a workflow or shared link. If
you do, it is entirely at your own risk.
You may consent to receiving other communications from us such as information about product
releases, other products or special offers. If you do consent, you can opt-out at any time by
clicking a link on any of the communications. If you have licensed Software or use a Service,
you may also opt-out at any time by logging into your Accusoft account.
We use automatically-collected information when you use a Service to enhance, support and
maintain the Services you use. The edocr Service uses automatically collected information to
optionally provide edocr subscribers with aggregate metrics information about their uploaded
content.
We may use collected information and uploaded files to improve our Software and Services.
Third Party Processors
Our carefully selected partners and service providers may process personal information about
you on our behalf as described below:
“Digital Marketing Service Providers”
We periodically appoint digital marketing agents to conduct marketing activity on our behalf, such
activity may result in the compliant processing of personal information.
How Accusoft Protects Your Information
Accusoft uses managerial and electronic tools to protect your information. Although we take
steps to prevent access to that information, the Internet and Accusoft’s services are not 100%
secure. For this reason, we cannot guarantee that the information we collect and store will
always be protected from unauthorized access.
When Accusoft Discloses Collected Information
We do not rent, sell or share your personal information with third parties except as disclosed in
this Privacy Policy.
Except for cookies that may be sent to your computer by edocr Service third-party advertisers,
and except for automatically-collected information as above provided to third-party tracking
technologies, Accusoft doesn’t disclose your information to other organizations unless required
by law or in our good-faith determination that such disclosure is required to comply with state or
federal laws, court orders or judicial or other authority subpoena. We may disclose your
information when, in our good-faith determination, such disclosure is necessary to take
precautions against liability, to defend our Services against fraudulent or illegal use, to
investigate and defend Accusoft against third-party claims and to assist government agencies.
As described above, when you provide an email address to access an edocr Service
subscriber’s content, we will provide that email address to that subscriber.
We may disclose your information as part of a sale, merger or change of control. A company or
individual that buys us or part of us will be able to continue to use your information in the
manner described by this Privacy Policy unless you agree to other uses.
How We Use AI
Certain features of our products may involve the submission of data for processing by artificial
intelligence (AI) engines. These AI services are contained within our controlled environments and
are not employed for modeling or analysis by external providers. As a general rule we further
recommend not submitting private information when working with these features as that data
could possibly appear in diagnostic logs.
We do not use any 3rd party APIs to develop, improve, or train generalized/non-personalized AI
and/or ML models. Any data that we collect through 3rd party APIs will only be used in
accordance with our privacy policy.

Your Choices about Collected Information about You
As to information you provide directly to Accusoft, you do not have to provide Accusoft with
personal information unless you want to license Software or use a Service. You can update or
correct your information by logging in to your Accusoft account. If you don’t have an Accusoft
account, you can email us at privacy@accusoft.com to remove your information.
You can opt-out of communications from Accusoft, other than administrative communications in
furtherance of a relationship licensing Software or using a Service, by logging into your Accusoft
account or you can click on the opt-out link in the communication. If you don’t have an Accusoft
account, you can email us at privacy@accusoft.com to remove your information or you can click
on the opt-out link in the communication.
Additional Disclosures for California Residents
California residents may have additional rights under the California Consumer Privacy Act
(“CCPA”) with respect to certain personal information that is not covered under a federal law.
This section applies only to California consumers. It describes how we collect, use and share
California consumers' personal information in our role as a business, and the rights applicable to
such residents. The CCPA requires businesses to disclose whether they sell personal information.
Accusoft Corporation does not rent, sell, lease or give away your personal information. We retain
your personal information for as long as is necessary to provide the Services to you, and to
comply with our legal obligations.
How We Collect, Use, and Share your Personal Information
We have collected the following categories of personal information in the past twelve (12) months:

Identifiers such as your contact information (name, e-mail address, mailing address, and
phone number) or unique personal identifiers (cookies, IP address). We collect this
information directly from you or from third party sources.
● Commercial information, such as from our online account records for our Software or
Services. We collect this information directly from you.
● Geolocation data, such as city, state and zip code associated with your IP address. We
collect this information from your device.
● Financial information, such as payment information or financial account numbers in the
process of providing you with Software and/or Services. We collect this information from
you.

“How Accusoft Uses Collected Information” of this Privacy Policy. The categories of third parties to
whom we "disclose" this information for a business purpose are described under “When Accusoft
Discloses Collected Information” of this Privacy Policy.
Your California Rights
You have certain rights regarding the personal information we collect or maintain about you.
Please note these rights are not absolute, and there may be cases when we decline your request
as permitted by law.
● The right of access means that you have the right to request that we disclose the specific
pieces of personal information we have collected, used and disclosed about you in the
past 12 months.
● The right of deletion means that you have the right to request that we delete personal
information collected or maintained by us, subject to certain exceptions.
● The right to correct means that you have the right to request that we correct any
inaccurate personal information that we have about you.
● The right to opt-out of the sharing of your personal information. Accusoft does not sell
personal information to third parties, and except as provided under “Third Party
Processors” of this Privacy Policy, does not share your personal information with any third
parties.
● The right to limit the use and disclosure of sensitive personal information collected about
you.
● The right to non-discrimination means that you will not receive any discriminatory
treatment when you exercise one of your privacy rights.
How to Exercise your California Rights
You can exercise your rights yourself or you can alternatively designate an authorized agent to
exercise these rights on your behalf. Please note that to protect your personal information, we will
verify your identity by a method appropriate to the type of request you are making. We may also
request that your authorized agent have written permission from you to make requests on your
behalf, and we may also need to verify your authorized agent's identity to protect your personal
information.
