Encryption
Unlike other file-sharing services, ShareFile protects data
at all times, no matter if it is at rest or being transferred.
Files are protected during transfer using up to 256-bit
AES encryption and SSL or TLS protocols and at rest
using 256-bit AES encryption.
ShareFile resolves the problem of email security by
replacing open email attachments with encrypted
downloads. It only takes seconds to create a secure link
to your files to send via email. Downloading is as simple
for the recipient as opening an attachment and uses the
same encryption as downloads from the portal.
For an even simpler workflow, ShareFile integrates with
Microsoft Outlook. With the ShareFile Plugin for Outlook,
you never have to leave your email to send secure files.
Simply click the “Send from ShareFile” button on your
Outlook toolbar, select the file you want and send.
File retention and backup
ShareFile conserves the files that you want and
eliminates any data you no longer need. All versions
of each file are saved so you can track the progress of a
file or refer back to older data when needed. When you
are done with an older file or version, simply delete that
copy from the system.
ShareFile retains deleted files for seven days in a Recycle
Bin to prevent data loss due to accidental deletion.
Once files are permanently deleted, they are completely
purged from ShareFile servers and backups. ShareFile
offers a physical backup service and can send a complete
copy of data by DVD, flash or hard drive. Accounts
can use this service for record-keeping at the end of a
project or to obtain a periodic backup of the account.
Mobile security
The ability to work from anywhere is a hallmark of
the cloud, but lost or stolen phones and tablets can
compromise data security when users work across
devices. ShareFile offers mobile apps that allow you
to access, share and edit files from anywhere while still
protecting them from unauthorized access.
If a device with ShareFile mobile apps is misplaced,
you can log on to the web application and use
the remote wipe feature to disable the app on the
missing device. This will remove access to files and
account information instantly.
Server security
Data protection extends beyond the application to the
very facilities where data is stored. ShareFile datacenters
are SSAE 16 accredited. The ShareFile application is
hosted in these secure datacenters and passes third-
party vulnerability testing daily.
Reliability
ShareFile infrastructure is designed to withstand
unexpected events. ShareFile consistently maintains
99.9 percent uptime including scheduled maintenance.
Account data is stored on secure servers located world-
wide, with primary storage in the location closest to ac-
count administrators. Client files are daily backed up to
ShareFile’s disaster recovery data center and mirrored in
real time to multiple storage zones. These precautions
allow ShareFile to bring data back online as quickly
as possible in the unlikely case of a disaster.
